Changed Outlook version and can now no longer find your favorite feature? Or have you heard of a feature but don’t know where to find it in Outlook?
This guide will help you on your way. It contains a list of most commonly used features and options that have been shifted around or renamed between Outlook versions and are sometimes hard to find back. In addition, a couple of options have links to them to find out more about how to use the feature.
Several options have multiple ways of accessing them. In most cases, we will only list one method as the intention of the guide is only to locate the feature. The main focus will be on accessing the options via the main interface by using a standard click (left mouse button).
Within this guide…
- “File” refers to the tab like File menu in the top left (also known as Backstage).
- “Ribbon” refers to the tabbed interface for command buttons also known as Fluent UI.
- “Simplified Ribbon” refers to the new single line Ribbon that is available in Outlook for Microsoft 365 (Version 1908 and later).
- “Expand icon” refers to the icon on the Ribbon (in the the right bottom corner of some tab groups).
- “Ellipsis” refers to the 3 dots (…) on the right side of the Simplified Ribbon which expands the command list.
Simplified Ribbon of Outlook as part of a Microsoft 365 subscription with the ellipsis (…) menu shown all the way on the right side.
The features have been grouped in the following categories;
- Global Outlook options and features
- Outlook management and maintenance
- Account and data file management
- Views
- Exchange
- Receiving Settings
- Messages (composing and reading)
- Calendar
- Contacts/People
This guide is not a full feature list of Outlook. Its intention is to serve as a Quick Reference guide. Feel free to submit feedback if you can’t find a specific feature or think that certain features should be listed here as well.
Tips!
If you regularly use a feature, you can check whether there is a keyboard shortcut for it in our Keyboard shortcuts guide.
Another way to find commands in Outlook is by using the “Tell me” feature that shows next to the Help tab in Microsoft 365 (up to Version 2004).
When you have the Search bar at the top in Microsoft 365 (in Version 2005 or later), then you can also type the command that you are searching for in the Search bar itself.
