Mail Merge: Create and send personalized bulk emails

Mail Merge buttonA mail merge allows you to send personalized messages to a large group of people at once without them knowing who else you have sent it to. This is a great way to have bulk messages look more personal, send everybody their own information (like a logon name and password) or send out Christmas cards.

There are various ways to do a mail merge and there are various tools available to further simply the process or add even more options. This guide gives an overview of these methods and walks you through a couple of examples to do your own mail merge.

Although you can also do a mail merge to a document or directly to a printer, in our examples we will use an email as the output. The process for the other output options is very similar and this guide can also be used for that.

OutlookTempCleaner buttonOutlookTempCleaner is a support tool for Microsoft Office Outlook. It gives you easy access to the Temp folder that Outlook uses to open attachments. It further allows you to automate maintenance to it via Windows’s Scheduled Tasks.

Main Program Features

  • Easy access to Outlook’s SecureTempFolder used for opening attachments
  • Determination of the current size of the folder
  • Empty the folder
  • Command line options to perform maintenance to the folder via for instance Scheduled Tasks and logon/logoff scripts

Updated: Open Message in Internet Browser

Based on some feedback I’ve gotten, I’ve done a major revision on the code in the guide “Open Message in Internet Browser“. The result is an improved rendering of the message. For instance, web forms embedded in message are now working and the original layout is maintained. This is being achieved by a more direct approach of capturing the HTML of a message.

Sounds confusing? Well, since a picture says more than a 1000 words, I’ve also updated the guide with some examples. Sadly you cannot see it in the examples that the inserted animated gif-pictures are now working as well, but trust me; they do!


Separate/Combine mail coming from multiple POP3 accounts

Sort mail for accounts buttonWhen you configure multiple POP3 accounts in Outlook, all the emails will be delivered to their own dedicated pst-file.

In older versions of Outlook, all emails from all POP3 accounts used to be delivered to a single pst-file which created a Unified Inbox.

Outlook can still be configured this way today without losing the indication by which account you received a message with.

It also has an option which lets you decide which folder the emails should be delivered to without the use on any Message Rules. This allows you to still use only a single pst-file but still separate the incoming emails from each account.

This guide introduces that and several other techniques which you can use to sort your email based on the account you have received it with.

While this guide is mainly focused on separating mails received from different accounts, the techniques can be used to sort mail based on other criteria as well.

Did you notice some downtime?

Well, I hope not! Today I changed the backend of my website, or in less technical terms; the stuff that keeps my website running ;-)

After years and years of managing separate htm-files, everything is now finally in a database and managed by a lot less template files. I’ve taken much care in making sure all the ‘old’ links still work and will continue to work since they are the ‘new’ links as well. However, there were a few links for which it wasn’t possible to transfer them but you should be automatically redirected for those. One of those links is for the RSS Feed of my website. If your RSS application is advanced enough, it will probably automatically update the subscription link and otherwise you’ll have to do it manually. If you come across some issues with my website, please do not hesitate to contact me.

Which reminds me; I have to update my About page! Last month I got my degree of “Master of Science in ICT in Business”. My thesis research was titled; “Bridging the gap between intra-organizational mobile collaboration scenarios and tools.”

I know things have been quiet on this website for a while but with the graduation and this backend change, I can finally focus again on the content part of this website. I’ve got a big list of ideas to write guides on but if you have some ideas too on things you want to see covered on this website you can contacts me.

I’ll also frequently post small tips and tricks on Outlook on my other Outlook website MSOutlook.info.

Office 2003 Service Pack 3 Released!

News

Today Office 2003 SP3 got released. In true Office tradition you can expect this to be the final Service Pack that we’ll see for Office 2003 (but I’m sure we’ll see some additional Hotfixes though). You can download Service Pack 3 here or of course use Microsoft Update or Office Update.

I’ve also updated the guide on how to create an Office 2003 CD (or installation point) with Service Pack 3 slipstreamed into it.


Sorting Outgoing E-mails

Move a Copy rule action for Sent Items buttonWhen you use Rules to sort your outgoing e-mails into folders you’ll notice that you can actually only “move a copy” to that folder. This rule is quite unclear and actually contradicts itself; does it move or does it copy?

Well it copies and when you use the rule by default, you’ll end up with duplicates which is probably not what you want; you want it to move! This is still achievable but it involves modifying another option and to carefully craft your e-mail rules.
